Update to the General Terms and Privacy Policy

SignSpace General Terms of Service and Privacy Policy were updated on 15 October 2024.

The terms have been clarified without making any significant changes to them. The changes are mainly related to updated service provider information, clearer data handling and storage rules, and simplified descriptions of responsibilities.

The main changes in privacy practices:

  • The data controller’s responsibility has been transferred to the parent company Vastuu Group Oy.

  • The e-mail address of the data protection officer has changed: tietosuoja@vastuugroup.fi.

  • Registered users are both users of the SignSpace service and persons to whom signature requests have been sent.

  • Our Privacy Policy describes in more detail the purposes of personal data processing and legitimate interests for processing.

  • Clarified that information related to user identification is obtained from identity service providers, and in connection with checking the customer's right of representation, information about the customer's signature representatives is obtained from the trade register.

  • Added a point about personal data not being used for automatic decision-making.

  • Made a clearer and more detailed description of the situations in which data is disclosed to third parties and processors, such as cloud services.

  • Added clarifications on when data can be transferred to external subcontractors outside the EU/EEA.

  • The rights of the registered users are described at a more detailed level.

Terms of Service and Privacy Statement are effective October 15, 2024 onwards. When logging in, users are asked to accept the updated Terms of Service and Privacy Statement.
